Freight Quote Validity, Free Time and Exclusions: What to Check Before Booking

A freight quote is more than a price. Review validity, free time, routing, transit, exclusions and currency before you confirm a booking.

A freight quote can look competitive and still be the wrong choice once its conditions are compared. Price matters, but so do validity, routing, free time, exclusions and what is not included.

1. Quote validity

Check the exact date range and whether the rate must be booked, gated in or sailed within that period. A quote that expires before cargo is ready is not a usable benchmark.

2. Equipment and service

Confirm container type, service level and any assumptions about weight or commodity. Comparing a standard service with a premium or direct service can make the cost comparison meaningless.

3. Routing and transshipment

Two quotes can have similar transit times but very different operational risk. Identify direct services, transshipment points and whether the carrier schedule is realistic for the cargo deadline.

4. Transit time

Transit is not only a service metric. A slower route may create inventory or production costs that outweigh a small freight saving.

5. Origin charges

Clarify pickup, terminal handling, documentation, VGM, security, customs and any origin fees that sit outside the headline ocean or air rate.

6. Destination charges

Ask which destination fees are included, prepaid or payable locally. Unexpected local charges are a common reason the cheapest base rate is not the cheapest total quote.

7. Free time

Record the demurrage and detention/free-time conditions offered with the rate. A slightly higher freight quote may be better if it includes more workable free time for the operation.

8. Currency and exchange exposure

Normalize currencies before comparing totals and note whether surcharges can change before shipment.

9. Exclusions

Read the exclusions explicitly. Common examples include customs inspections, storage, waiting time, special equipment, overweight cargo, duties and taxes.

A better comparison method

Put every quote into the same rows: base freight, origin, destination, surcharges, documentation/other, transit and service notes. Then compare total cost and transit rather than the first number in the email.

For recurring lanes, preserve quotes and reasons for selection. Historical comparisons reveal which forwarders are consistently competitive and which “cheap” offers regularly accumulate extras.
